These days the talk really does seem to be all budgets, ALL the time. Over and over again we hear all about the importance of budgeting, budgeting, and budgeting. And while designing a budget and adhering to it is one of the greatest recommendations in the meeting and conference planning world, one thing to bear in mind, the lowest price isn’t always the best price.
For so long it has been drilled in to us, when budgeting, go with the lowest cost proposal offered. But truly the lowest price doesn’t always end up being the least expensive. More times than not budgeting seems to be about getting the best possible services for the best possible rates. But wait… is this always the right choice?
Sometimes, the smartest way to maintain a budget when meeting and conference planning is to find the right organization or service for your meeting or event. Though sometimes the rental fee for that “perfect” venue is a tad more then you anticipated, be sure to take a look at what value the venue really does bring to the table. Many times those “extras” that are sometimes included with venue rental fee will save you those budget dollars in the long run.
I have worked with venues in the past that, along with the regular amenities and features, also include security and furnishings at no additional charge. As well, I have worked with caterers that come with staffing and table decor, again at no additional charge. So consider what other assistance the various service companies have in-house and that can be utilized by you at no additional costs.
Really, what we’re all looking for is a bit more of that proverbial bang for our buck!
