Like snowflakes no two convention centers are the same. And that means that coordinating shuttle transportation for conferences requires a unique approach for each and every program. It’s highly recommended that you work with a local coach company, or a Destination Management Company (DMC), as they understand the layouts of their respective convention centers and can offer a wealth of advice on how to best handle shuttles.
In this video venue showcase clip Randy and I address this exciting topic. Okay, maybe shuttle transportation isn’t the most exciting component of a conference program but it certainly is vital as you sometimes need to move thousands of people in a short window of time.
Randy offers tips on how to overcome convention center design obstacles and provides her expertise on the best practices for staging coaches. And with variables such as weather and traffic often at play, executing a successful shuttle program can be stressful. We recommended that you hire off-duty police officers to assist with coach staging. As anyone who has worked on coordinating shuttles will tell you, off-duty police officers can be a godsend as they have much more pull when you require municipal taxis and other vehicle traffic to be cleared from the staging area.
Budget Tip: do not skimp on hiring staff to have on hand to direct delegates and coaches. They are worth every penny.
