I never really understood the value of a good equipment rental company that was until I was in a real dilemma times two. As part of my job planning events, meetings and conferences; I often work with a variety of equipment and party rental companies. Sometimes I feel like I know a couple of the local table and chair rental companies better than my own family members. And while I appreciate them and the quality they add to my events; I never really gave it much thought. We’d put in the order, they’d arrive, set up and when the event or party was over took it all away. And whether it be party rentals, wedding rentals or party tent rentals, most times it all went perfectly.
Equipment Rental and MacGyver = Success!
That was until two major event situations happened. First I was in the middle of set up for a very large gala dinner. It turned out the entertainment required a wooden floor and at the last minute the venue didn’t have one available. Go figure, so I put on my MacGyver hat and went to Home Depot. It wasn’t easy but in the end I figured out what to buy and how to construct one. My second watershed moment happened when a press conference went late. And there we all were outside the venue waiting and waiting. We literally had minutes to set up the VIP reception and dinner space. And the equipment rental company saved the day. It was ALL hands on deck, every single delivery person lent a hand and in the end no one was the wiser.
So I for one understand that when it comes to planning events success happens because of a lot of things. The just right mix of organization, logistics and working with the best suppliers; and that really does include equipment rental providers. I can’t say it enough, the key to success is to source and work with quality vendors and suppliers. The ones that are a perfect fit and will go that extra mile to ensure a success story.
What to look for in a Great Event Equipment Rental Company
We all know planning a party or event takes a boatload of know-how, time, vision and resourcefulness, just to name a few. But it also takes partnering with the best suppliers and vendors. Here are a couple of things to consider when looking for an equipment rental company
Quality Products. Always, always do your research. If you haven’t worked with the company do a background check, ask industry peers, visit the warehouse and be sure to see and feel the products. Make sure the items are in good condition. Avoid the “been there done that” scenario. You set up your order, it arrives but the stock is tired and outdated. It’s all about getting the best products for the best price.
Answers, Answers, Answers. Ask Questions and lots of them. What kind of things do you provide for rental? When do you replace stock? If I’m unsure of the equipment I need, do you provide assistance? What is the cancellation policy? What do you need from me to book my order? What condition does the equipment arrive in? Do items have to be washed before I return them? What happens if you don’t have enough stock to fill my order? What happens if pieces come damaged? Do you have references?
Outstanding Customer Service. First and foremost you want to work with a company that is trustworthy, dependable and has a good reputation. A company that will be there when you need them. That will provide high quality products. That understands inventory is only part of what it takes to be successful. That are willing to do whatever it takes to ensure the events’ success. And that no matter what are dedicated to making your event the best it can be.
